Privacy Policy
Last updated: Sep 21, 2026
This Privacy Policy explains how GroundVue Public Benefit Corporation (“GroundVue”) collects, uses, and shares personal information when you visit groundvue.org, use the GroundVue platform, communicate with GroundVue, or otherwise use a GroundVue service. GroundVue is a Colorado public benefit corporation.
GroundVue is a policy intelligence platform built from publicly available government information, including public meetings, agendas, minutes, transcripts, and related government records. GroundVue does not accept customer dataset uploads.
Information you provide
GroundVue may collect information that you choose to provide, including:
- Your name, email address, account name, organization, and other account or contact information.
- Billing details and payment card information submitted when purchasing a service.
- Messages, support requests, calendar booking details, survey responses, and other communications.
- Feedback and quality reports, which may include free text descriptions and context such as the page, search, filters, result, submission time, browser viewport, and application version associated with the report.
- Information submitted when you ask to receive marketing communications.
GroundVue does not require agencies to provide sensitive, confidential, regulated, or personally identifiable program data to use the service. Users are not expected or able to upload datasets or other sensitive information to the platform.
Information generated through use of GroundVue
For user accounts, GroundVue stores only the information needed to provide and secure access to the service, such as basic login and account information. GroundVue also collects limited technical and usage telemetry needed to operate, secure, troubleshoot, and improve the service, including:
- IP address, device identifiers, online identifiers, browser information, and session information.
- Search history and information about how you navigate and interact with the website or application.
- Information about interactions with embedded maps, fonts, videos, forms, and other website features.
- Authentication, security, diagnostic, and audit information, including information associated with a login session.
- Cookies, local storage values, and similar technologies used for authentication, analytics, selected state and interface preferences, feature interest choices, release note status, and website functionality.
Feature usage and reliability
GroundVue may maintain structured feature-usage records to understand which features people use, how often they use them, and whether they encounter errors. These records may include the time of an interaction, the feature or page used (including explorer, MCP, API, and help pages), map selections and filter interactions, the number of records exported, and success or error categories. Map dragging is not included in these feature-usage records.
Feature-usage records use an internal user ID and organization ID rather than an email address. An internal user ID can be linked to an account by authorized GroundVue personnel, so these records are not anonymous. The records do not include search text or search history, selected filter values, selected locations, exported content, or full page URLs.
For MCP feature usage, GroundVue may record the tool called, input and output character counts where available, timing, and success or error categories. These feature-usage records do not include prompts, tool arguments, tool results, or the text of error messages. Character counts describe the size of an exchange, not its contents.
These limits apply to the structured feature-usage records described in this section. Account information, information needed to fulfill a request, voluntarily submitted feedback, and other technical records and services are described separately in this Policy.
AI services and MCP connections
GroundVue may allow you to access GroundVue through an AI assistant or other third party service using the Model Context Protocol (“MCP”) or a similar integration.
When you use such an integration, the AI service may send GroundVue a request on your behalf, including search terms, filters, or other information needed to fulfill the request. GroundVue returns relevant information to that service so it can respond to you. Returned information may include policy signals, names, public roles or affiliations, statements, transcripts derived from public meeting audio or video, meeting dates, and links to GroundVue or underlying public sources.
Information exchanged through an MCP connection is transmitted between GroundVue and the AI service you choose to use. The AI service's collection, use, retention, and disclosure of information it receives are governed by that service's own terms and privacy practices.
GroundVue may record information about MCP requests for authentication, security, diagnostics, abuse prevention, service operation, and auditing. This may include the GroundVue account or organization associated with the request, request or search information, date and time, IP address or similar connection information, and technical status or diagnostic information. GroundVue does not require or request the AI service to provide the user's complete conversation history in order to use the MCP.
AI model training
GroundVue does not use customer or user data to train AI models.
User account information, prompts, queries, usage information, and other interactions with GroundVue are not used to train GroundVue models or general-purpose AI models.
Public meeting and government record information
GroundVue's underlying policy data comes from public government sources. Information about identifiable individuals is limited to information already publicly available through government meetings and related public records. This may include a person's name, image, voice, statements made in a public forum, public role, and other information contained in the source record.
GroundVue's public record workflow is designed to use public sources rather than obtain private or nonpublic information directly from meeting participants. A public source may nevertheless contain information that a person disclosed in a public proceeding or that a government body made publicly available.
If you believe GroundVue's presentation differs from the linked source, contact info@groundvue.org. Requests to change an official source record should be directed to the government body that maintains it.
How GroundVue uses information
GroundVue may use personal information to:
- Provide, operate, maintain, and improve the website, platform, and related services.
- Create and manage accounts, authenticate users, process transactions, and provide customer support.
- Collect, transcribe, organize, classify, summarize, analyze, and present public source information.
- Respond to requests made through AI assistants, MCP connections, APIs, and other integrations and provide relevant GroundVue information to those services at the user's request.
- Respond to messages, manage calendar appointments, resolve disputes, and administer customer relationships.
- Send service and marketing communications in accordance with user choices.
- Measure usage, perform analytics, personalize services, and support marketing and targeted advertising.
- Verify information, enforce GroundVue's Terms, audit compliance, protect the service, and detect or respond to malicious, deceptive, fraudulent, or illegal activity.
- Comply with legal obligations and establish, exercise, or defend legal claims.
How GroundVue shares information
GroundVue may disclose personal information to service providers and other recipients that support its operations, including:
- Hosting, content management, software development, design, security, and infrastructure providers.
- Customer management, calendar booking, email, form, and marketing providers.
- Analytics, advertising, and data linking providers.
- Payment and transaction providers.
- Map, font, and video providers when GroundVue uses their features.
- AI assistants, AI service providers, and other third party services that a user chooses to connect to GroundVue, when necessary to return GroundVue information requested through that service.
- Professional advisers, authorities, or other parties when reasonably necessary to comply with law, protect rights or safety, investigate misuse, or resolve a dispute.
- A buyer, successor, or other participant in a merger, financing, acquisition, reorganization, or transfer involving all or part of GroundVue's business.
The information disclosed may include names, email addresses, IP addresses, online and device identifiers, search or request information, account and transaction information, information about interactions with GroundVue, and public source information returned in response to a user's request, depending on the recipient's function.
Payments
Payment card details are used to process purchases and transactions. Payment providers may collect or process card numbers, expiration dates, security codes, billing addresses, and related transaction information under their own privacy terms.
Analytics, advertising, cookies, and local storage
GroundVue uses cookies and similar browser storage for authentication, preferences, analytics, and website functionality. GroundVue records selected page views and product interactions through its own feature-usage collection, associated with internal user and organization IDs when signed in. This collection does not use session replay or automatic page-content capture. HubSpot provides lead capture forms when you choose to open and submit one. Google provides externally hosted website fonts and receives ordinary browser request information when those fonts load.
GroundVue may use identifiers and activity information for marketing and targeted advertising and may disclose that information to analytics or advertising providers. GroundVue does not sell personal information for money. Some privacy laws may define certain advertising related disclosures as a “sale” or “sharing” even when no money changes hands.
You can control cookies through your browser settings, although disabling them may prevent parts of GroundVue from working correctly. Some browsers offer a Do Not Track setting; GroundVue does not currently respond to Do Not Track signals.
Retention and security
GroundVue retains personal information for as long as reasonably necessary for the purposes described in this Policy, including providing services, maintaining business and transaction records, complying with law, resolving disputes, and enforcing agreements. Retention periods vary based on the type of information and the reason it is held.
Requests made through MCP connections and associated authentication, security, diagnostic, and audit records are subject to GroundVue's ordinary service log retention practices. Information returned by GroundVue to an AI service may be retained by that service according to its own terms and privacy practices. GroundVue does not control the retention practices of a user selected AI service.
GroundVue uses administrative, technical, and organizational measures intended to protect personal information. No method of storage or transmission is completely secure, so GroundVue cannot guarantee absolute security.
Privacy choices and rights
Depending on where you live and subject to applicable exceptions, you may have the right to request access to, correction of, deletion of, or a copy of personal information about you, or to object to or opt out of certain uses or disclosures.
Nevada residents may have the right to opt out of certain sales of personal information. GroundVue does not sell personal information for money. Residents of Nevada and Rhode Island may submit an applicable privacy request to info@groundvue.org.
GroundVue may need to verify your identity before completing a request and may ask for information needed for verification. You may also write to GroundVue Support, 712 H Street NE, Suite 1383, Washington, DC 20002, United States.
Children's privacy
GroundVue is intended for a general audience and does not offer services to children. If GroundVue learns that a child under 18 submitted personal information directly to GroundVue, GroundVue will use that information only to respond and explain that the child cannot use the service, and will delete it when reasonably practicable unless retention is legally required.
Third party services
GroundVue may link to, integrate with, or make GroundVue available through services operated by other organizations, including AI assistants and services that users choose to connect through MCP or similar technologies. Those organizations control their own privacy practices. Review their policies before providing information to them. A link or integration does not by itself imply endorsement.
Changes and questions
GroundVue may update this Privacy Policy as its services and practices change. GroundVue will post the revised Policy here and update the date above.
Questions or privacy requests may be sent to info@groundvue.org.
